The hardest part of writing an instruction manual is often deciding what belongs on the page. A useful template makes that decision once, so you can focus on the task itself.
Copy the instruction manual template below into your own document or text editor. It is designed for one procedure: a clear starting point, a series of actions, and a result the reader can check. No signup is needed to read or copy it.

Replace every bracketed prompt with a concrete detail. Remove fields that do not apply. For a longer manual, repeat the procedure section for each task and group the tasks under clear topic headings.

Here is the same structure applied to preparing a shared meeting room. The actions are deliberately specific, but the equipment and contact route are placeholders for a team to verify.
TITLE: How to prepare the meeting room for a video call WHO THIS IS FOR A colleague hosting a meeting in the shared room. RESULT The display, microphone, and camera work before guests join. BEFORE YOU START Bring your laptop and the room’s compatible display adapter. Have the meeting link ready. STEPS 1. Connect the laptop to the room display using the labeled cable. Check: Your laptop screen appears on the display. 2. Open the meeting link and select the room microphone and camera in the meeting settings. Check: The preview shows the room and the microphone indicator responds when you speak. 3. Join the call and ask a colleague to confirm they can hear and see you. Adapt the structure without making it heavier
For a user manual, introduce unfamiliar terms before the reader needs them and link related tasks. For an SOP, add the trigger, responsible roles, and any agreed ways to handle problems. For a quick reminder used by experienced colleagues, keep only the preparation and checks they still need.
Do not fill every field with a paragraph just because space is available. ‘Before you start: sign in as a workspace administrator’ can be enough. A short, specific requirement is more helpful than a broad introduction about the importance of preparation.
Check the template before sharing
Read each step as if you cannot ask its author a question. If it refers to ‘the correct setting,’ name that setting. If it says ‘check everything works,’ say what a successful check looks like. Remove remaining placeholders before the guide is used.

- Does the guide list the access, information, and equipment needed before the first step?
- Does each step name a specific action?
- Can the reader recognize the expected result?
- Is there a next action when the expected result does not appear?
- Has someone tested the completed procedure?
